15 years of growth, completely rebuilt: the HOB service portal

Replacing a monolith & creating new services

In addition to replacing and modernizing legacy systems, W&W Informatik benefits from our many years of experience in agile methods, application of best practices and test-driven development.

In times of skilled worker shortage, the Wüstenrot & Württembergische Group was looking for a long-term software development partner on equal footage who could provide complete software engineering teams.
These teams needed to be able to implement large projects on time and in close collaboration. Several of our teams have been working with the company since summer 2022 to replace legacy systems, modernize software, and digitize core business processes.

With our many years of experience in agile software development and expertise in test-driven development, we provide ongoing support to W&W Informatik's internal teams in their daily work, assisting with further development. As proactive thinkers, it's part of our DNA to question processes in order to raise development productivity to a new level.

Initial situation

Why the legacy portal could no longer be developed further

The HOB portal, which had evolved over many years, was a central component of daily operations. Every step along the process chain—from ticket intake to billing—was already being handled digitally. However, the technical foundation had become outdated and increasingly complex due to numerous extensions. Over time, the following challenges in particular became apparent:

Limited scalability

New requirements and functions could only be implemented in the existing system with increasing effort. To remain flexible in the future, a modern, modular technical foundation was required.

Increased requirements

Higher security and data protection requirements collided with a significantly expanded database containing thousands of customers as well as numerous interfaces to the parent company and suppliers.

Technical debt

The code, which had evolved over many years, was technically outdated; sustainable further development on the existing foundation was no longer feasible.

Objective

An expandable foundation with proprietary code and data

HOB did not want to simply copy the existing portal, but rather develop it from the ground up so that it meets modern requirements and provides a sustainable, flexibly expandable foundation for the long term. Specifically, this meant:

an end-to-end digital solution that optimizes existing processes, eliminates media discontinuities, and ensures high data quality,

a more intuitive and mobile-optimized application than its predecessor, as the portal is used daily by both office and field staff,

an adaptable, modular architecture that can be expanded in the coming years without destabilizing the overall system,

no licensing model, but rather proprietary code and data to ensure long-term independence and operational agility.

Solution content

The project delivered by three Objectbay software engineering teams are working on modernizing existing services and developing new ones, supporting the gradual replacement of the existing monolithic system. A key part of the project involves digitizing the insurance provider's claims recording and processing operations.

Another focus is breaking down silos and simplifying test data generation through the implementation of a test data generation tool.

From properties, objects, and components to tickets, work orders, quotes, and service catalogs, as well as materials management including inventory, goods receipt, stock transfers, and stocktaking, right through to final billing. The system is also connected to the parent company's external order processing system, which automates the exchange of work orders, service catalogs, invoices, and credit notes.

A core feature of the new portal is the dynamic component concept: every object is broken down into components, to which detailed technical equipment—including products, serial numbers, and locations—is assigned. This provides tangible day-to-day benefits:

Prepared for the job

Technicians can see in advance which technical systems and devices are installed on-site and where they are located. This ensures faster and more comprehensive information exchange.

Knowledge stays in the system

Employees can create components and technical equipment and feed information back into the portal while on-site. This data is then available for future service calls and for the back office.

Fewer on-site visits

Quotes can be generated based on stored data without always requiring an additional site visit.

Faster response times

First-level support has immediate access to the entire history of calls, tickets, information, and service interventions.

Benefits

In addition to replacing and modernizing legacy systems, W&W Informatik benefits from our many years of experience in agile software development. By applying best practices, agile methods, and collaborating with Objectbay, existing processes were reviewed, and opportunities were identified to make workflows more effective and efficient.

We have already shared a great deal of our expertise with the W&W Informatik teams, particularly in the areas of test-driven development and automation.

Collaboration

Successful partnership: HOB and Objectbay

Looking back, what HOB highlights most is the partnership on equal terms. Trust was also the deciding factor during the selection process. HOB obtained several quotes, evaluated off-the-shelf products, and considered international providers. Standard software was ruled out due to the large number of business-critical interfaces, while offshore options were dismissed due to data protection concerns and the handling of sensitive legacy data—especially during the migration phase.
